Booking Return Melbourne Airport Transfers: What to Confirm for Both Journeys

One booking conversation, two journeys to check. A useful return-transfer plan separates the trip to the airport from the collection after you land, so dates, flight details and vehicle requirements do not get mixed together.

The two-leg check at a glance

Going to the airport: confirm the collection address, pickup date and time, departing flight, airline arrival requirement, passengers and luggage.

Coming back: confirm the flight arriving in Melbourne, the Melbourne arrival date and time, destination, travelling contact, meeting arrangement and any changed requirements.

For both: obtain the accepted itinerary, fare inclusions, waiting conditions and the process for changes. Do not assume that the same fare, car or passenger list applies twice.

Start with two journey records

A return booking connects two transfers, but it should still contain two complete sets of instructions. “Same as the first trip” is easy to misread when the second journey has a different flight, terminal, contact or destination.

Use the main Melbourne Airport transfer service page for vehicle and service options. This guide focuses on checking the departure and return together before accepting a booking.

For departure, work backwards from your airline’s requirements

Record your departing flight number, travel date and airport. Confirm whether you are travelling through Melbourne Airport at Tullamarine or Avalon; they are different destinations. Then check the terminal and when your airline wants you at the airport.

Discuss the pickup time with VHA using that arrival requirement, your full collection address and the time needed to board and load luggage. A driving estimate is only one part of the plan. Checkout, lifts, child restraints and an early-morning departure can require additional preparation.

Melbourne Airport’s official terminal guidance directs travellers to their airline for baggage limits and the best arrival time. Avoid applying one universal check-in allowance to every flight.

For a hotel collection, confirm the property’s full address and agreed vehicle entrance. Our hotel pickup checklist explains the checkout and luggage steps in more detail.

Record the departure and return as two separate journeys, using local dates and flight details.

For the return, use the Melbourne arrival date

The date you depart your holiday or business destination may not be the date you land in Melbourne. Copy the scheduled Melbourne arrival date and local time from the current itinerary, rather than carrying over the origin departure date.

A flight arriving at 00:30 on Saturday needs a Saturday arrival record, even if you left overseas on Friday. Write the day and full date alongside the time when checking an overnight arrival. For a connecting itinerary, provide the flight that actually lands at the airport where the chauffeur will collect you.

Supply the flight number and airline together. If the itinerary displays a codeshare number, forward the current flight details so the service can be identified. Tell us promptly if you move to a different flight; monitoring the original service does not automatically update the booking to a replacement.

Melbourne Airport’s live arrivals board is useful for checking the arriving service. Keep the passenger’s latest airline itinerary and VHA confirmation as the records for the actual transfer.

Separate landing time from being ready to meet

Landing is the beginning of the arrival process. Leaving the aircraft, collecting bags and, for an international arrival, completing border and biosecurity procedures can take additional time. Do not replace the flight arrival time with a guessed “ready outside” time unless a different arrangement is specifically agreed.

Confirm whether your booking includes an inside-terminal Meet & Greet or another agreed collection arrangement. Keep the current instructions accessible and use the passenger contact nominated in the confirmation. A public pickup map is not a chauffeur meeting instruction.

If baggage is delayed, the passenger needs more time, or the phone contact changes, let VHA know as soon as possible. The airport pickup and arrival guide covers meeting arrangements; this article concentrates on keeping the two bookings consistent.

Recheck people, luggage and seats in each direction

The return vehicle requirements may differ. Someone may finish their trip elsewhere, another passenger may join, or there may be extra luggage. Record the load for each leg instead of copying the outward list without checking it.

  • Count every passenger, including babies and children.
  • List suitcases, cabin bags, backpacks and bulky items separately.
  • Give folded pram dimensions if a pram will travel.
  • Confirm each requested child restraint for each journey.
  • Check whether the return destination is the original address.

A vehicle category alone does not confirm that a particular mix of passengers, seats and luggage will fit. Ask VHA to assess the complete arrangement. For detailed restraint and packing preparation, use the family airport transfer checklist; for a larger party, compare the V-Class and Sprinter planning guide.

Check both fares and what each one includes

Request a clear fare for each direction, or a combined total that identifies both transfers. A return booking does not automatically mean identical fares or a discount. Routes, vehicle requirements, extras and timing may differ, and any offer needs to appear in the quote.

Before accepting, check the vehicle category, GST treatment, applicable payment fees, tolls or parking, requested child seats and Meet & Greet. Ask when included waiting starts, how long it lasts and what happens if additional waiting is needed. Use the terms supplied for your itinerary rather than assuming the same conditions apply at a hotel and inside an airport terminal.

Confirm payment timing and how changes or cancellations are handled. If a detail is missing, resolve it before paying or treating the journey as accepted. A submitted enquiry, an SMS draft or a payment receipt on its own should not be used as a substitute for the confirmed travel instructions.

Keep changes in one written conversation

When plans change, identify which leg you mean: “departure to the airport” or “return from the airport”. Include the existing booking reference if one has been issued, the changed detail and the correct local date. Ask for the revised arrangement to be confirmed.

For a new flight, send the updated flight number, Melbourne arrival date and scheduled time. For an address change, send the full address and any access instructions. For extra passengers or luggage, request a fresh suitability check rather than assuming the original vehicle still works.

Nominate a reachable travelling contact for the return. A PA or family member may arrange the booking, but the person arriving should also know how to find the confirmation and contact VHA. Do not put passport numbers, payment-card details or unrelated private documents into a routine quote request.

A useful return-transfer enquiry

Use this practical enquiry template to request both journeys. It is not a confirmed booking, flight schedule or vehicle-capacity promise. Replace every bracketed field with your own details.

Departure to the airport
Melbourne pickup date: [day, date]
Collection: [full address and entrance]
Departing flight: [number, airline, departure date and time]
Airport and terminal: [confirm from itinerary]
Airline-required airport arrival time: [time]
Passengers, bags and child seats: [complete list]

Return from the airport
Melbourne arrival date: [day, date]
Arriving flight: [number, airline and local arrival time]
Airport and terminal: [confirm from itinerary]
Destination: [full address]
Passengers, bags and child seats: [complete list]
Travelling contact: [name and reachable phone]
Meet & Greet or other requested arrangement: [details]

Please confirm suitable vehicles, both pickup arrangements, fares and inclusions, waiting conditions, payment timing and how to report changes.

Before travel, check the accepted confirmation

Read the two legs side by side. Each should show the correct local date, relevant flight, route, passengers and agreed requirements. Check that the return has actually been accepted; it should not remain a note saying “return details to follow”.

  • Before the outward pickup: have the party and luggage ready at the agreed collection point.
  • Before the return flight: review the Melbourne arrival date, destination and passenger contact again.
  • If the itinerary changes: contact VHA and obtain confirmation of the revised arrangement.
  • At the end of each transfer: count the bags and check the seating area for smaller belongings.

VHA’s current advance-confirmation requirement is at least three hours for metropolitan pickups and six to seven hours for regional Victoria. These are minimum notice requirements, not a guarantee of availability. Enquire earlier for return journeys, child seats or multiple vehicles.

Questions about booking both journeys

Can the return go to a different address?

Yes, you can request it. Give the full return destination when enquiring and have the route and fare confirmed. Do not assume the original outward fare covers a different destination.

Do both journeys have to use the same vehicle?

Request the category you prefer for each leg. Vehicle allocation and suitability are confirmed with the booking; the same individual vehicle is not guaranteed unless specifically agreed.

What if I have not booked my return flight yet?

Tell VHA which details are pending. You can enquire about the outward transfer, but do not treat a return date or vehicle as reserved until the missing details and acceptance are confirmed.

Will flight monitoring cover a cancelled or rebooked flight?

Notify VHA of the replacement flight and ask for the transfer to be updated. Do not assume that monitoring one service transfers the booking to another flight automatically.

Does sending the online form confirm both transfers?

No. The form starts an enquiry. Check the written acceptance for both legs, the agreed fares and the pickup instructions before treating the return arrangement as confirmed.
